Overview
The Maintenance Specialist is responsible for coordinating maintenance activities tracking reported issues through resolution managing maintenance related documentation and invoices monitoring payment progress and preparing maintenance cost reports The role also supports the Health Safety and Environment HSE function by ensuring timely follow up and resolution of safety related maintenance issues
Key Responsibilities
Monitor and follow up on maintenance requests to ensure timely resolution
Coordinate technician assignments and dispatch based on reported issues and service priorities
Receive verify and record maintenance invoices in the ticketing or maintenance management system
Track invoice approvals and payment status ensuring timely processing
Maintain accurate records by archiving maintenance documentation invoices and supporting files
Prepare and maintain maintenance cost reports and other performance related reports
Follow up on HSE related maintenance findings and ensure corrective actions are completed within required timelines
Update the ticketing system with accurate status documentation and closure details
Coordinate with internal departments vendors and service providers to ensure effective communication and service delivery
Support continuous improvement initiatives by identifying opportunities to enhance maintenance processes and documentation
Qualifications
Bachelor s degree in Engineering Facilities Management Business Administration or a related field is preferred
Experience in maintenance coordination facilities management or a similar operational role is an advantage
Ability to perform basic troubleshooting and assess maintenance issues before technician dispatch
Proficiency in Microsoft Excel
Communication and coordination skills with the ability to work collaboratively across departments and with external suppliers
Fast learner with a proactive attitude and the ability to follow procedures and work independently when required
